One of the most useful and popular features in PhotoOne is the ability to email directly from the studio management software. Whether you are setting up the software program to send an automatic appointment reminder or creating a marketing piece, you can’t go wrong taking advantage of this feature.
Recently we’ve had lots of requests on how to insert an image into the Email Editor. Obviously, an image greatly enhances the marketing message and increases the odds that the audience will read or scan your email.

Today’s P1 Action is to create an email that contains an image or graphic.
Ideally, the image attached to your email should be in a jpg or gif format and sized at 72 dpi. In order to insert an image into an email created in PhotoOne you will need to upload the image to a web server. If you don’t know how to do this contact your web designer or watch this video which will show you
how to upload the image to a free image site.
To add images to your Web Server:
1. Create a folder on your web server called P1images.
2. Upload the image(s) contained in your email to the P1images folder.
3. Open the image via the internet.
4. Right click on the image, go to properties, and copy the entire address shown on the properties page.
To create the New Template:
1. Go to Setup > Email Editor
2. Click Add
3. Select the TYPE of email this will be (marketing, appointment reminder, etc.)
4. Type in the subject line you want your clients to see in their in-box.
5. Type in the marketing message to your clients.
6. Put the cursor where you would like to place the image on the page and click on the Insert Image icon (the last icon in the toolbar), and then paste the address you copied from your website.
You can also use a design program (ie, Dreamweaver or Coffeecup) to create your email and then create a new template. Then select the type of email, provide a subject line, and then go to the HTML tab at the bottom of the email template and paste the HTML code into the template. Another option is to use an online service such as Constant Contact or Mail Chimp to create the emails and then copy and paste the code into PhotoOne’s Email Editor. A design program is not required to use PhotoOne’s Email Editor, but it may enhance the design process.
Don’t use Microsoft Word to design your emails. Microsoft’s HTML coding doesn’t work well with PhotoOne.
