Sales by Sessions – Where Are Your Profits?

Sittings, sessions, whatever they are called at your Studio, PhotoOne can give you some great reports on the money you make on those sessions. For the purpose of this tip, we will refer to them as sessions. Read on for more information!

Profits

To get a report that will break down sales by sessions you’ll want to have a price setup for each of your session types. For instance, if you have 3 different sessions for seniors (15 minutes, 8 poses; 30 minutes, 15 poses; 60 minutes, 30 poses) you’ll want 3 different prices setup for those sessions (S15-8, S30-15, S60-30). As the studio owner, you’ll want to know the average sale from each of these types of sessions.

To start, go to Setup / Appointment Types and click the button Print List. Using this list as a guide, you’ll need to make sure that there is a Session price (even if the cost to client is zero, you’ll still want to track sales based on that session) for each of your Appointment types (except for personal types). To create the prices go to Setup / Pricing / Prices. Be sure when you’re creating the prices to put a check mark in the box that says “If checked, this is a session fee”.

Now to implement! When a client calls to book an appointment, or comes in for their appointment, you’ll create an order whose order type is Session. You’ll add the session price you created for that appointment type and collect the fee for that session. If you need to collect an order deposit, you’ll add a new order, go directly to payments and add that deposit. When the client comes in to order, you’ll edit that order with the deposit on it and add the items they are purchasing.

Adding your orders this way will give you the ability to see the number of orders based on your appointment types; the total session fee’s associated with your appointment types; the total amount of sales based on your appointment types; and the average order amount based on your appointment types, by going to Reports / Sales Reports / Sales by Session Type.

You’ll also be able to see the number of sessions per business category you had on a month by month basis by going to Reports / General Reports / Sessions by Category; or you can break it down into business type by going to Reports / General Reports / Sessions by Type.s
