9 Steps To Importing A Client List Into PhotoOne

You can easily import a client list into PhotoOne Software in a matter of minutes.   This may be a list of senior high school students you received from a school, an American Student list, a list from a bridal show, or a list that you purchased.

Follow the instructions below to properly format, label and import a client list into Photo One.  You will want to make sure it’s in the proper file format prior to importing into Photo One.

Proper file formats for importing are TXT or CSV. If you receive an Excel spreadsheet, you can open it with Microsoft Excel and “save as” the proper file format of TXT or CSV. Once the file is saved in the correct format, close the file before importing into Photo One.

Importing Client or Prospect Lists
(If anything goes wrong click the Start over/Garbage can button on the first import screen)

•    Data that is being imported should be saved in the Photo One folder (C:\P1)
•    From the P1 program click drop down Utilities > Import > Customers

•    Click “Import names from ASCII text (.csv or .txt files)”

STEP 1 – IMPORT NAMES:
Choose Comma-separated File to import – by clicking on the small button with three dots (…) to the right of the long white field

•    Check the box that says Skip First Record
•    Click the NEXT STEP button

•    Click the button that says FIRST

•    Click on the button “Map by name” or Drag the Source File Fields to the corresponding Existing Field
•    Click Start

STEP 2 – CHECK FOR DUPLICATES

This step is necessary if you do not want to import duplicate names. PhotoOne will compare the list you are importing against the existing clients / prospects already in PhotoOne. When you get to step 4, simply put a check mark in either of the skip duplicate selections and you will have a clean import.

STEP 3 – Review the Imported List

•    OPTIONAL Split Full name in Last Name field
•    OPTIONAL Assign Category
•    OPTIONAL Assign Type

STEP 4 – Merge Names (Tab #4)
•    Check the spot that says “Import these names as Prospects”
•    Click on the “Merge the Data above into the customer file”
